Why do we do a thank you note for an interview?

When get invited to an interview, be sure to get the names and titles of the individuals to who you will speak. You might also want to take notes about which person asked you a question or engage you in a conversation. This can be very useful in writing the thank you notes.

Writing a thank you note is a sign of your professionalism and desire to work at the company where you interviewed. If it is one person, make sure you have both his proper full name and his title.

This is important because you will need to follow up with a quick thank you email. This is a social skill, and it can separate you from the other candidates


When should this be done?

Immediately after the interview.


How does one craft this email?

These are some basic elements:

  1. Greeting. Don’t forget to make sure you’re using the correct form and spelling of the person’s name, as well as anyone else’s mentioned in the note. Use a colon, not a comma after the addree's name. 

Dear Mr. Smithers:

Dear Ms. Louie:

Dear Mr. Smith, Ms. Louie, and Dr. Chen: 

 

  1. Express your thanks. Begin with the two most important words: Thank you.
  • Thank you so much for…
  • Participating in this interview made my day because…
  • Thank you, for I’m so appreciative of your interview questions. 

 

  1. Add specific details. Tell them what you learned.  It shows them that you really appreciated the opportunity to interview. 
  • After this interview, I feel that my skills and your position are a strong match. Add these matched skills and company needs.
  • Your interview questions have encouraged me to feel that my skills could work well in your company. Add these matched skills and company needs.

 

  1. Look ahead. Mention what is ahead for you.
  • I look forward to learning more about your company.
  • I look forward to hearing from you soon. 
  • Should there be additional questions, I am available to respond. 

 

  1. Restate your thanks. Add details to thank them in a different way.
  • Again, thank you for your time and consideration of my application. 

 

  1. End with your regards. “Sincerely” is a safe standby option.

  • Warmly,

Timing is everything. Try to send your thank-you notes out the same day as you interviewed. This shows your sense of urgency and respect for their hiring processes.
